M4N Photography – Studio Terms & Conditions
Age & Safety Policy
Minors Under 13: M4N Photography specializes strictly in adult portraiture, branding, and editorial photography. We do not accommodate children under the age of 13, including within family group sessions.
Youth (Ages 13–18): Sessions for youth must be booked by, and the minor must be accompanied by, a parent or legal guardian for the entire duration of the shoot. Editorial concepts will remain strictly professional and age-appropriate.
1. Session Preparation & Creative Direction
Personal Grooming: Clients are required to arrive with hair, makeup, and nails fully prepared before the scheduled session start time, unless a studio makeup artist (MUA) has been explicitly added to the booking. Post-production retouching does not include fixing unmanicured nails, messy hair, or poorly applied makeup.
Creative Planning & Mood Boards: To maximize studio efficiency, all wardrobe choices, concepts, and styling inspiration must be finalized via our creative brief no later than 72 hours prior to the session.
Studio vs. Location: Every standard booking includes exclusive access to our professional commercial studio space.
2. Booking, Payments, & Premium Fees
Retainer Fee: A 50% non-refundable retainer is required at the time of booking to secure your date on the studio calendar. Your date is not locked in until this payment clears.
Remaining Balance: The remaining 50% balance is due in full on the day of your session, prior to the start of shooting. No proof galleries will be generated, and no images will be released until the balance is fully settled.
The "After-Hours" Experience: Sessions booked for our exclusive weekday evening block (7:00 PM – 11:00 PM) are subject to availability and must be requested explicitly during booking.
Short-Notice Booking Fee: Sessions scheduled within (5) days of the desired date will incur a $100 short-notice rush fee to accommodate rapid studio prep.
Travel & Location Fees: For lifestyle or editorial sessions outside of our dedicated commercial studio, a travel/location fee ranging from $100 to $350 will apply, depending on the distance and logistics within the greater Bay Area.
Overtime Rate: Sessions run on a strict studio clock. If a session goes over the allotted package time due to client wardrobe delays or late starts, additional studio time will be billed at $80 per hour (billed in 30-minute increments).
3. Attendance, Rescheduling, & Cancellations
Late Arrivals: Your session time begins exactly at the scheduled hour. If you are late, that time is deducted from your shooting window. Clients arriving more than 30 minutes late will have their session canceled, the retainer forfeited, and will be required to pay a new retainer to rebook.
Rescheduling Policy: We understand life happens. You may reschedule your session once with at least 3 days' advance notice at no extra cost. Rescheduling between 1 to 3 days prior to the session will incur a 50% of Package Rate rescheduling fee to cover lost studio optimization. Cancellations or reschedule requests made under 48 hours will result in a total forfeiture of the retainer.
Refund Policy: Due to the custom, digital nature of photography, all sales are final. No refunds are issued once the digital proofing gallery has been delivered or after final retouched images have been turned over.
4. Image Culling, Proofing, & Luxury Delivery Workflow
The Proofing Phase: Within 3 business days of your shoot, M4N Photography will deliver all your “Raw Images” via a online gallery via Dropbox or Google Drive depending on your preference. These images are completely un-retouched.
Turnaround Time: Once the client submits their final proof selections through the gallery, standard high-end retouching takes 1 to 2 weeks depending on package selected and amount of edits requested.
Additional Retouched Edits: Every package includes a specific number of luxury edits. Clients may purchase additional high-end retouched images for $25 per image (includes digital delivery).
The "Full Vault" High-Resolution Archive: "Every package includes the Full Session Archive delivered as high-resolution, color-corrected JPEGs. You get every single good photo we take, so you never have to stress about leaving a great memory behind." Folder will be removed 2 weeks after images are selected.
Revisions: Final retouched images include up to two (2) rounds of minor adjustments (e.g., specific blemish removal or global color preference). Structural changes or heavy body manipulation not discussed in the creative planning phase will be billed at $25 per revision round.
